Office Assistant

Position Summary
The Office Assistant will serve as the backbone of our office environment, ensuring smooth communication between departments and providing essential support to our management team. The ideal candidate is a proactive problem-solver with a strong attention to detail and a commitment to professional excellence.
 
Key Responsibilities:
Communication Management: Answer and route inbound phone calls and general email inquiries to the appropriate internal parties.
Visitor Liaison: Act as the first point of contact for office guests, greeting them professionally and directing them to their appointments.
Scheduling & Logistics: Coordinate meetings based on cross-functional availability and assist with calendar management.
Administrative Support: Maintain physical and digital filing systems, handle incoming/outgoing mail, and assist with data entry tasks.
Inventory Control: Monitor office and kitchen supply levels, placing orders as needed to ensure the office remains fully stocked.
Facility Operations: Ensure office equipment (printers, fax machines) is functioning properly and assist with minor troubleshooting.
Executive Assistance: Assist high-level staff with travel bookings, expense reports, and document preparation as required.
 
Qualifications:
Education: High school diploma or equivalent required.
Experience: 1–2 years of experience as an administrative assistant, secretary, or receptionist preferred.
Technical Skills: Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook).
Communication: Exceptional written and verbal communication skills.
Traits: Strong organizational and time-management skills; ability to thrive in a fast-paced environment.
